Our core principles that provide the basis for the Keep Kids Safe at School™ attendance messaging systems are; to help ensure the safety of children, to provide schools with a powerful tool to combat truancy, to improve school communication with parents, guardians and pupils, to reduce the cost of school administration, and to give peace of mind to parents/guardians.

Keep Kids Safe at School is a software solution that works in conjunction with a school’s existing registration systems, either manual or computerised. The externally hosted software analyses registration data, records absences and automatically alerts parents/guardians that their child is not in school using SMS text messaging, Automated Voice Broadcast and Email. The system also incorporates a bulk messaging function for communicating with user defined messaging groups, for instance, sports teams, orchestras, PTA members etc.

The system incorporates:

  • External software hosting accessed via an internet connection, doesn’t require any space on the school server
  • Multiple User logins with user defined access privileges
  • Easy to operate, user friendly interface for manual registration data input
  • Straight forward integration with existing software systems for computerised registration and contact database data transfer

    Our system is designed to be flexible in order to meet the needs and preferences of different schools. It can easily be configured in many different ways to optimise the benefits to the individual school. Below is a simple example of how the system can be set up and used:

    1. Registration absence management

  • Registration data is recorded using Capita Sims
  • Keep Kids Safe then uploads the data from Sims and records absences in a report that can be viewed from a desktop PC
  • The system then automatically sends all the parents/guardians of the absent children a school approved, preset text message. If a child’s parents do not have a mobile phone the system will send either an automated voice recording or an Email
  • E.g.

    “Dear [parent/Guardian] it has been noted that [Timmy] was not present at registration a few moments ago, could you please call 0114 1234567 to confirm this is an authorised absence”

  • The incoming call is directed to a IVR platform that screens calls allowing parents to leave a message for authorised absences and directs them to the truancy officer for unauthorised absences
  • The truancy officer can check the messages on the system to make sure all absences are correctly accounted for

    2. Group Messaging

  • Imagine a scenario where Year 8 are out on a school trip but their coach is stuck in traffic and they won’t return to the school at the scheduled time
  • One of the teachers supervising the trip calls the school and informs them that they will be late giving a revised ETA
  • An administrator can then send a group message to all the parents of children in Year 8 informing them that their child will be late back from their school trip and when they are estimated to return
  • This whole process could be completed in 2-3 minutes. Even if a Year 8 messaging group had not already been set up it would only take a couple of minutes to prepare on the system
